How should I handle sensitive information such as Personal Identifiable Information (PII)

You should be extra cautious when handling PII or other personal information. Please refer to your site's guidelines regarding PII handling or to your study Manual of Operations. Here are some useful tips:

NEVER:

  • Share your Study Coordinator App password with anyone else

  • Leave your desktop, laptop or tablet unattended, even with a password protected screen saver

  • Share or discuss PHI with anyone else

  • Write down from, take a screenshot or print filled e-CRF containing PHI

  • Download files containing PHI on your desktop, laptop, tablet or smartphone

  • Fill-in PHI is free text fields

  • Upload patient records containing PHI in an e-CRF or CLINRO

ALWAYS:

  • Comply to your site’s policies on Human Subject Research and Protected Health Information

  • Refer to your Supervisor, PI or to the Central Study Coordinator if you have any questions or doubts on handling PHI

  • Report any concerns you have about PHI protection during or after the study

  • Refer to the study participant by their Subject ID

  • Ensure PHI is properly typed in, including during updates to the Contact Information e-CRFs
